Warmada

Warmada Terms of Service

Effective date: 2026-10-26 · Version: 2026-10-26

These Terms are an agreement between you and the founders who run Warmada ("Warmada", "we", "us"). They cover the Warmada website at warmada.com, the Warmada dashboard, the Warmada Chrome extension, the free lookup and every related feature (together, the "Service").

Warmada is a free beta. It is not yet a company, and it charges nothing. Section 13 explains what happens when a company is formed.

You accept these Terms and our Privacy Policy by checking the box that says you agree when you create an account, by continuing with Google or LinkedIn beside the notice that says so, by creating an account in the extension beside the notice that says so, by checking the box at the prompt in your dashboard or the extension if your account already exists, or by using a feature that needs no account, such as the free lookup, beside the notice that says so. If you do not agree, do not use the Service.

1. What Warmada does

Warmada helps job seekers turn an application into a personal introduction. On a job posting you open, it detects the posting, suggests people at the company who are likely involved in hiring, and drafts a short message for you. You can edit the message, and nothing is sent unless you approve it. It goes from your own email account: through Gmail if you have connected Gmail, or by you, after you open it in Gmail or copy it. When you ask, Warmada also fills the application form with details from your profile. Warmada never submits an application for you. It may also suggest job postings that match the search you describe.

Some features work without an account, such as the free hiring-manager lookup on our website. These Terms apply to anyone who uses them.

Warmada is software you use in your own job search. It is not an employer, recruiter, staffing firm or employment agency, it does not represent you or any employer, and it takes no part in any hiring decision. Any application, conversation or job offer is between you and the employer.

This is a beta. Features may be less reliable than a finished product, and may be changed, limited or removed.

2. Who can use it

You may use the Service only if you are at least 18, you live in the United States and use it from there, you can form a binding contract, US law (including sanctions and export-control law) does not bar you, and we have not previously closed your account.

Use it only for your own job search, not for another person or a business, unless we agree in writing. Keep one account; we close accounts created by bots or scripts, and extra accounts made to get around a limit.

3. Your account

Keep your sign-in details secure; you are responsible for what happens under your account and for keeping its details accurate, including its email address, since our notices go there; to change that address, write to us from it, and we will change it once you confirm the new one. Tell us at hello@warmada.com right away if you think someone else has used it.

You can delete your account at any time from your dashboard settings, or from the dashboard's prompt that asks you to accept updated Terms, without accepting them; the extension's prompt links to it. If you do not use Warmada for 11 months, we email you, and if you still have not used it 30 days later (12 months in all), we delete your account. The Privacy Policy describes both.

4. The messages you send

4.1 You are the sender. Every message is sent by you, from your own email account, after you review and approve it. You decide whether to send it, to whom and what it says, and you authorise each message separately. Warmada never sends a message on its own, and drafts are only suggestions. The one exception is a delivery test: if you ask us in writing to check that Gmail sending works, we may send one test message from your Gmail to your own address. If you choose "Open in Gmail" or "Copy email", you send the message yourself, outside Warmada; telling Warmada you sent it only records that you did. Deleting a draft or your account cannot unsend a message already sent or withdraw an application already submitted.

4.2 Your responsibility. You are responsible for every message you send and for following every law that applies to it, including the CAN-SPAM Act, state anti-spam laws, and laws against harassment, defamation and deceptive practices. That includes the law where the person you write to is, which can be stricter than US law; Canada and the European Union, for example, have their own rules on unsolicited email. Each message must be a genuine, individual inquiry about a job you are interested in, truthful about who you are, and not an advertisement or promotion of any product or service. Warmada's drafts and limits help you write a reasonable message, but they are not legal advice and do not make any message lawful. If someone asks how you found their details, tell them the truth: that you used Warmada, which finds work contact details through a contact-data provider and public sources, and that they can ask Warmada to remove them (Privacy Policy, Section 9).

4.3 Respect "no". If someone asks you not to contact them, stop, and do not use Warmada to contact them again.

4.4 Limits and holds. We may limit how many messages you can send, drafts you can generate or lookups you can run, and we may hold back a message that looks like spam or abuse. Some limits are applied automatically. If you think one was applied to you by mistake, write to hello@warmada.com and one of the founders will look at it.

5. Contact information and suggestions

The people and contact details Warmada suggests, including those shown by the free lookup, come from a contact-data provider, public sources and automated inference. They may be incomplete, out of date or wrong. We do not promise that a suggested person works at the company, is involved in hiring or wants to hear from you, or that a message will be read or answered, or that you will be interviewed or hired.

You may use contact information from Warmada only to send your own individual messages about a job you are pursuing. Apart from putting it into that message, you may not copy, export, compile, sell or share it; add it to a list, directory or database; use it to train, fine-tune or evaluate an AI model; use it for sales, marketing, recruiting other people or any other purpose; or use it to decide anyone's eligibility for employment, credit, insurance, housing or any other benefit. Warmada is not a consumer reporting agency, does not intend anything it provides to be a consumer report, and does not allow it to be used as one.

6. Autofill, other sites and job postings

6.1 Check before you submit. Autofill copies details from your profile into application forms on other websites, including your demographic answers, each of which can be "Prefer not to say". Check every field before you submit; you are responsible for what you submit to an employer.

6.2 Other sites' rules. Warmada works on sites and services run by others: employers' career sites, applicant-tracking systems, LinkedIn, Google and Gmail. Their own terms apply, and you are responsible for following them. Some sites restrict automated tools, including tools that fill in forms; use autofill and job detection only where the site's own terms allow it. Warmada is not affiliated with, endorsed by or sponsored by any of them, and their names and marks belong to their owners. We are not responsible for those sites, their content, their availability, or what they do with what you submit to them.

6.3 Gmail. Connecting Gmail lets Warmada send the messages you approve from your account (and the delivery test in 4.1, if you ask for it), and nothing else; it cannot read your mail. You can disconnect at any time from your dashboard or your Google Account settings. Your Gmail account remains subject to Google's terms and sending limits. Google may delay, filter or block a message, or limit your account, and we do not promise that any message is delivered, reaches an inbox or is read.

6.4 Job postings. The postings and matches Warmada shows come from employers' job boards and other public sources. A posting may be out of date, already filled, inaccurate or not genuine. Check the posting and the employer yourself before you apply or share personal information beyond an application.

7. AI services and AI-generated content

7.1 Who provides the AI. Warmada does not build or host AI models. It uses the AI services and models listed at warmada.com/ai-services (Privacy Policy, Section 3): OpenRouter, and the models and providers it routes to. They are independent companies, each operating its service under its own terms and policies. We choose which services and settings to use and what each request contains; where a service we chose picks the model, the PDF conversion or the search engine for a request, the AI services page says so. To the fullest extent the law allows, we are not responsible for how those companies operate their own services, for their availability, or for their acts or omissions. This does not limit our responsibility for our own choices described above. When you use an AI feature, you also agree not to use it for anything those providers' usage rules prohibit; the AI services page links the terms or usage rules each listed service publishes.

7.2 AI output. AI is used to read résumés, suggest contacts, draft messages, answer application questions and rank jobs. Its output can be wrong, incomplete, generic or inappropriate, and it is not professional, legal, financial or career advice. Do not treat it as your only source of facts about a company, a job or a person: it can describe real people wrongly, for example by naming someone as involved in a hire who is not. Laws on AI and on email change, and we do not promise that AI-assisted output meets laws passed later. Review it before you rely on it or send it; once you send or submit it, it is yours.

7.3 Similar output. The AI may give other users the same or similar wording it gives you. As between you and us, output written for you is Your Content (Section 9), but neither you nor any other user gets an exclusive right to wording the AI produces.

7.4 The assistant speaks only for itself. Nothing Warmada's assistant says can promise a feature, change these Terms or make any commitment on our behalf.

8. Acceptable use

You will not, and will not help anyone else to:

  1. send bulk, automated or unsolicited commercial messages, or use the Service for anything other than your own job search;
  2. harass, threaten, deceive or impersonate anyone, or misrepresent your identity, qualifications or intentions;
  3. scrape, crawl or extract data from the Service, including the free lookup, or access it by automated means other than the features we provide. "Automated means" includes bots, scripts, crawlers, headless browsers and AI agents, and a page being publicly reachable does not make their use permitted;
  4. get around rate limits, usage caps (including the free lookup's daily limit), access controls or security measures, or probe or test the Service's security without our written permission;
  5. upload malware, or interfere with the Service or anyone else's use of it;
  6. resell, sublicense or commercially exploit the Service;
  7. use the Service to discriminate unlawfully, or in violation of any law or anyone's rights;
  8. upload content you have no right to share, such as someone else's résumé;
  9. use the Service or its output to build or improve a competing product, a contact database or an AI model; or
  10. put another person's health, financial, government-ID or other sensitive information into a message, a chat with the assistant or any other content you submit, or use the Service to store medical, financial or similar regulated records. Your own profile answers described in the Privacy Policy are not affected.

We may investigate suspected violations and act on them, including by removing content, holding back messages, suspending or closing your account, and reporting to authorities.

9. Your content

9.1 You own it. "Your Content" is what you give us or create through the Service: your résumé, profile, job searches, edits, messages, answers and chats. You keep ownership of it.

9.2 What you let us do with it. You give Warmada a non-exclusive, royalty-free licence to host, store, process, transmit, display and adapt Your Content, and to pass it to the service providers named in the Privacy Policy, only to:

That is all. We do not use Your Content to train or fine-tune AI models, for advertising, or for anything else. The licence ends when you delete Your Content or your account, except for copies in backups, disk snapshots and application logs until they expire (within 30 days), in our automation logs at GitHub (within 90 days), in emails between you and us (kept as the Privacy Policy says), in what the AI tool we use to run Warmada and the PDF conversion service keep under their own terms (Privacy Policy, Sections 3 and 4), and anything the law requires us to keep.

9.3 Your promises. You have the rights needed to give this licence, and Your Content is accurate and lawful.

9.4 Feedback. If you send us ideas or feedback, we may use them without paying or crediting you.

10. Our property

The Service, including its software, the extension, its design and text, belongs to the founders and their licensors. As long as you follow these Terms, you may use the Service and install the extension for your own job search. This permission is personal and you cannot transfer it; we can withdraw it if you break these Terms. We keep every right we do not expressly give you.

11. Fees

The Service is free. We do not take payments and offer no paid features. If that ever changes, you will see the price and terms first and agree to them separately; nothing will ever be charged without that.

12. Changes

We may change, suspend or stop any part of the Service at any time. Before we stop the Service, or remove a feature that holds your data, we will make a reasonable effort to tell you in advance and give you time to export your data. Warmada is a beta: keep your own copy of anything you cannot afford to lose, using the export in your dashboard settings.

We may update these Terms. If a change matters, we will tell you by email or in the Service at least 14 days before it takes effect, and we may require you to accept the new Terms to keep using the Service: the dashboard and the extension then ask before you can go on. If you do not agree, stop using the Service and delete your account, which the dashboard's prompt lets you do without agreeing.

13. Who runs Warmada, and when it becomes a company

Warmada is run by its founders. They intend to form a company to run it. When they do, the company will take over the Service only after we tell you, and it will ask you to accept updated Terms with it. The founders, or that company, may also transfer these Terms to a business that takes over the Service through a merger, an acquisition or a sale of the Service, after telling you. Information moves only as the Privacy Policy describes: information received through Google APIs or the Chrome extension needs your consent, and you can export or delete your data first.

14. Suspension and closing accounts

You may stop using the Service and delete your account at any time.

We may suspend or close your access if you break these Terms, if your use creates risk or legal exposure for others or for us, if the law requires it, or if we stop offering the Service. Where reasonable, we will tell you first and give you a chance to export your data.

When your account ends, your permission to use the Service ends too, and we delete your data as the Privacy Policy describes. Sections 4.2, 4.3, 5, 6.1, 7, 9.2 (for copies kept until they expire), 9.3, 9.4, 10 (its last sentence), 13 (its consent rule), this paragraph, and 15 to 17 continue to apply.

15. Disclaimers, liability, release and indemnity

15.1 No warranties. THE SERVICE IS A FREE BETA PROVIDED "AS IS" AND "AS AVAILABLE." TO THE FULLEST EXTENT THE LAW ALLOWS, WE DISCLAIM ALL WARRANTIES, EXPRESS, IMPLIED OR STATUTORY, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT AND ACCURACY. WE DO NOT PROMISE THAT THE SERVICE WILL BE UNINTERRUPTED, SECURE OR ERROR-FREE, THAT CONTACT INFORMATION, JOB POSTINGS OR AI OUTPUT WILL BE CORRECT, OR THAT USING IT WILL LEAD TO AN INTERVIEW, A JOB OR ANY OTHER RESULT.

15.2 Limitation of liability. TO THE FULLEST EXTENT THE LAW ALLOWS: (a) WE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, LOST WAGES, LOST OPPORTUNITIES, LOST DATA OR DAMAGE TO REPUTATION, EVEN IF WE WERE TOLD THEY WERE POSSIBLE; AND (b) OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE OR THESE TERMS IS LIMITED TO US $100. THESE LIMITS APPLY WHATEVER THE LEGAL THEORY, BUT THEY DO NOT LIMIT ANY LIABILITY THE LAW DOES NOT ALLOW TO BE LIMITED.

15.3 What the people you write to do. We do not control how anyone responds to a message you send, including whether they read, answer, forward, report or block it, or what they or their employer do about it. To the extent the law allows, you release us from claims arising from those responses.

15.4 Indemnity. If someone makes a claim against us because of a message you sent or content you submitted through or with the Service, your breach of these Terms, or your violation of a law or of someone's rights, you will cover our reasonable costs of that claim, including lawyers' fees, to the extent the law allows. We will tell you promptly about any such claim, and you may take part in the defence with a lawyer of your choice at your own cost.

15.5 Your state's law. Some states do not allow some of the disclaimers, exclusions or limits in this Section. Where a state's law does not allow one, it applies to you only as far as that law allows. Nothing in these Terms takes away a right that the law says cannot be given up by contract.

16. Disputes

If you have a problem with Warmada, write to us first at hello@warmada.com, with your account email and what you would like us to do. We will try in good faith to resolve it within 30 days, and most problems end there. If they do not, either of us may bring a claim in a small-claims court, or in any other court that has jurisdiction. Deadlines for bringing a claim are paused while we try to resolve it under this Section.

17. General
